Benefit Night

From the first ticket to the last receipt.

Benefit Night runs your fundraiser from one place: tickets and tables, bidding on guests’ own phones, raffles, check-in and checkout. Nothing for anyone to download.

Most benefit nights run on three spreadsheets, a cash box, a stack of bid sheets and one tired treasurer.

Benefit Night puts all of it in one place, for the whole night, so your volunteers can look up from the folding table and enjoy the room.

How a benefit night runs, hour by hour

Weeks before

Fill the room before the doors open.

Your event gets its own page, with your logo and colour. Guests buy tickets, sponsors buy tables, and you decide what’s in each package: dinner, drink tickets, raffle strips, whatever you’re selling.

Meal choices come with the order, so the kitchen count is done before you call the caterer.

5:30 PM, doors open

Everyone inside in seconds.

A volunteer scans the ticket on a phone. The guest gets a bidder card with their number and a code, and walks in ready to bid.

Walk-ins work too: hand them a blank card and register them at the door.

6:00 PM, silent auction

The silent auction moves to their phones.

Guests browse the whole catalog from their seats, set a maximum, and get a popup and an email the moment they’re outbid.

Go ahead, bid on the cabin.

7:10 PM, raffles and games

Sell it, add it to their tab, hand it over.

Volunteers scan a bidder card and sell raffle strips, beads or dart throws from any phone or tablet. It all lands on one tab, so nobody needs a cash box.

Your paper tickets and your draw stay exactly as they are. Benefit Night keeps track of what’s been sold and what’s been handed out.

A clerk types the paddle number and the winner’s name comes up to confirm. Or a runner scans the bidder card right at the table. Bids people placed online ahead of time settle automatically.

Every guest has a My Night page with what they won and what they owe. They pay in a couple of taps with the card they saved, or at the counter, where a volunteer scans them and sees paid or balance due, in plain words.

Tom and Sarah are ready to go home. Pay their tab.

Getting started takes a few steps, not a committee.

      1. Tell us about your night

We’ll set up your organization and walk you through the first event ourselves.

      2. Build the event

Add your items, tickets, tables and sponsors. Upload a spreadsheet of auction items if you already have one. Everything stays hidden until you publish.

      3. Connect your payments

Link your own Square or Stripe account. Money goes straight to you, and guests can save a card when they register.

      4. Invite your people and open the doors

Give volunteers just the screens they need, print your bidder cards, and share your link.

      Questions people ask first

Do guests have to download anything?

No. It runs in the browser on any phone. Guests open a link or scan a code and they are in.

What about guests who don’t want to use a phone?

Volunteers can bid for them from a staff screen. Everyone also gets a printed bidder card, and runners scan it for live auction wins.

What happens when the wifi is bad?

Phones show when they have lost signal and reconnect on their own. A bid only counts once the server has it, so nobody thinks they are winning when they are not.

      Where does the money go?

Straight into your own Square or Stripe account. We never hold your funds.

Can we run raffles and games?

Yes. Benefit Night sells them online or at a sales table and tracks who has picked theirs up. The tickets, beads and draws stay physical and in your hands, and a manager confirms for each event that you may legally run them.

      Do donors get tax receipts?

Yes, by email, as soon as they pay. You enter a fair market value for each item and the receipt works out the deductible amount.

Can we use only part of it?

Yes. Turn on what your night needs. A supper with one raffle and a gala with three auctions use the same system.

      What does it cost?

It depends on the size of your event. Tell us about your night and we will send you a price.

Tell us what you’re putting on. We’ll show you how it would run and send you a price.
